Where you write your mail matters more than where you paste this. Outlook on the web sends the signature as it is drawn here; the desktop app runs it through Word first, which underlines every link and turns the two images into attachments. Same signature, different result — so use the web client if you can.

  1. Open Settings (the gear, top right) → Mail → Compose and reply.
  2. Under Email signature, choose + New signature and name it PK.
  3. Click into the box and paste with Ctrl+V / ⌘+V.
  4. Set it for both New messages and Replies/forwards.
  5. Save. It roams to your other Outlook clients.

  1. File → Settings → Accounts → Signatures…
  2. New, name it PK, then OK.
  3. Paste into the preview window with Ctrl+V.
  4. Save to close.

Copy it off a real message

  1. Set the signature on the web first, then send yourself a message from there.
  2. Open it on the phone. Select the signature and copy it.
  3. Tap your profile picture → the gear → Signature.
  4. Clear what is there, paste, done.
  5. If an empty box is left where the mark was, delete it.

Copying off a rendered message is the only route that keeps the layout; pasting this page’s HTML straight into the phone squeezes it to a third of the screen. Either way the brandmark and the rule do not survive — Outlook for iOS drops both. Reading this on your phone? Copy for phone above is the same signature without them, so there is no box to delete.

Outlook for Mac

  1. Outlook → Settings → Signatures.
  2. Press + and name it PK.
  3. Paste with ⌘+V, then close the editor.
  4. Under Choose default signature, pick PK for new messages and replies.

Four things to expect

It sets no background, on purpose. That is what lets a dark-mode client lift your details to light type by itself. A signature that paints its own white panel keeps that panel in a dark thread, which is the boxed-in look you have seen on other people's mail. Flip the preview to Dark to see it.

The mark brings its own ground. Clients invert text; they never invert images, so a bare Gun Metal brandmark would drop to about 1.2:1 and vanish in a dark thread. It sits on a white circle instead: nothing to see against white mail, a clean badge against dark. It is the one element that looks identical in both, by design rather than by luck.

The desktop app underlines every link, and nothing here can stop it. It renders through Word, which strips the style off each link on the way out; what arrives is a bare link wearing the reading client’s own underline, and no styling inside it can cancel that. It also downloads both images and attaches them to the message, which is what puts an expand button over the mark for some readers. Outlook on the web does neither: the links arrive as drawn, and the two images stay as links back to pksound.live rather than travelling with the message — which a few recipients’ clients will block, showing the alt text in place of the mark. That is the whole trade, and it is the better side of it: an expand button and four underlined links show for everyone, a blocked image for a few. If your signature looks right to you and wrong to the person who received it, this is why.

It will not be Avenir for everyone. Outlook for Windows renders mail through Word, which cannot load a web font. Macs show Avenir Next, Windows falls back to Segoe UI, Arial below that. The signature holds its proportions either way.

Raw HTML — for IT, or for a signature management tool

If PK ever moves to Exclaimer or CodeTwo, this is the template to paste in: swap the personal values for the tool's merge fields — typically {{DisplayName}}, {{Title}}, {{Phone}} and {{Email}} — and it applies to every mailbox from Entra ID.
